Privacy Policy

1. Who we are

Tocoin LLC (“Tocoin”, “we”, “us”) makes custom challenge coins and related products for military units, companies and other organizations in the United States. This Privacy Policy explains what personal information we collect through tocoin.co and our sales channels, how we use it, who we share it with and the choices you have.

2. Information we collect

Information you give us

• Contact details: name, email, phone and WhatsApp number, organization or unit name.
• Project details: quantities, specifications, deadlines and the artwork, logos or files you upload.
• Order details: billing and shipping addresses and your order history.
• Messages: what you send us by email, website chat, WhatsApp or social media.

Information collected automatically

• Device and browser information, IP address, approximate location, pages visited, referring site and the ad or link that brought you to us.
• This is collected through cookies, pixels and similar technologies described in section 4.

Payment information

Payments are processed by Stripe. We do not receive or store your full card number. Stripe shares with us only what we need to confirm your payment.

3. How we use your information

• To prepare quotes, create and adjust your artwork and produce and deliver your order.
• To communicate with you about your project, including production updates, approvals and payment requests.
• To provide customer support through email, chat and WhatsApp.
• To measure and improve our website and advertising.
• To show you relevant ads on other platforms (see sections 4 and 6).
• To comply with legal, tax and customs obligations and to protect our rights.

4. Cookies, pixels and advertising

We use the following technologies on our website:

• Google tag (Google Ads and Google Analytics): to measure visits and conversions and to show you our ads on Google properties (remarketing). You can manage Google ads at adssettings.google.com.
• Meta Pixel (Facebook and Instagram): to measure our ads and show you relevant ads on Meta platforms. With automatic advanced matching, contact information you type into our forms (such as email or phone) is hashed in your browser before it is sent to Meta to help match website activity to Meta accounts. You can manage Meta ads in your Facebook ad preferences.
• Crisp (website chat): to run the live chat and keep your conversation history.

You can block or delete cookies in your browser settings. Some parts of the website may not work properly without them. See section 6 to opt out of the sharing of your information for advertising.

5. How we share information

We share personal information only as needed to run our business:

• Service providers: website hosting (GoDaddy), analytics and advertising (Google, Meta), customer messaging (Crisp, WhatsApp, Twilio), payments (Stripe), email and workflow tools and shipping carriers.
• Our team and manufacturing partner: our design and support team in Brazil and our manufacturing partner in China receive the project details, artwork and shipping information needed to design, produce and ship your order.
• Legal reasons: when required by law or to protect our rights, customers or others.
• Business transfers: in connection with a merger, sale or reorganization of our business.

6. “Selling” or “sharing” under U.S. state privacy laws

We do not sell your personal information for money. However, the use of advertising pixels and cookies (Google and Meta) may be considered “sharing” for cross-context behavioral advertising, or a “sale,” under California and other state laws. You can opt out at any time on our Do Not Sell or Share My Personal Information page. We honor Global Privacy Control (GPC) browser signals as a valid opt-out request.

7. Your privacy rights

Depending on where you live (including California, Colorado, Connecticut, Virginia, Texas, Oregon and other states), you may have the right to:

• Know and access the personal information we have about you.
• Correct inaccurate information.
• Delete your personal information.
• Opt out of the sale or sharing of your information and of targeted advertising.
• Appeal our decision on your request.

To make a request, email hello@tocoin.co with the subject “Privacy Request”. We will verify your identity before responding and reply within the time required by law (generally 45 days). You may use an authorized agent. We will not discriminate against you for exercising your rights.

8. Text messages (SMS), WhatsApp and iMessage

We send text messages only when you text us first or check the consent box on our quote form. Messages are about your inquiry or order: replies to your questions, design proofs, your quote and order updates. We do not send marketing texts. Message frequency varies. Message and data rates may apply. Reply STOP at any time to opt out, or HELP for help. You can also reach us at hello@tocoin.co.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are never shared with or sold to any third party. We share it only with the service providers that deliver our messages (such as Twilio and Crisp).

9. Data retention

We keep personal information for as long as needed to provide our services, keep order records and meet legal, tax and accounting requirements. Artwork files are kept for 3 years after your last order so we can fulfill reorders, and are then deleted. Information from inquiries that don’t become orders is deleted 3 years after our last contact with you. You can ask us to delete your information sooner.

10. Security

We use reasonable administrative, technical and physical safeguards to protect personal information. No method of transmission or storage is 100% secure.

11. International transfers

Our team and partners are located in the United States, Brazil and China. Your information may be transferred to and processed in those countries, which may have different data protection laws than your state.

12. Children

Our website and services are intended for adults and organizations. We do not knowingly collect personal information from children under 13.

13. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top shows when it was last revised.
